Hiring Postdocs
The process of hiring postdoctoral fellows at ECAS is managed by a department's lead staff and the department's designated College HR Associate.
To open a job search for a postdoc position (job code 9903), the department's lead staff must complete and submit the ECAS Job Posting Request webform. The webform link is available on the ECAS Lead Staff Sharepoint.
On the webform, the department may provide preferred qualifications such as education level, skills or attributes not specifically described in the generic job description of the position. There is also the option, if applicable, to provide the search committee names who will need access to iCIMS (an applicant tracking system, for hiring paid, regular or temporary faculty and staff) to review the candidate pool.
Once submitted, the completed ECAS Job Posting Request webform automatically routes to the department's designated College HR Associate for review. Please allow at least 2 business days for a response.
The job opening is then posted by the ECAS HR Associate on the iCIMS site as an open requisiton. The PeopleSoft supervisor will receive an email notificaiton when the posting is live for applicants.

Back to topOnce posted, applicants will apply to the position in ICIMS. The department-level hiring official or search committee will then review the candidate pool to determine who to interview. At minimum, three candidates should be interviewed. Please be sure to note in iCIMS those who are interviewed. Please note when considering finalists that the pre-employment process can take up to 2 weeks.
Access iCIMS through Self-Service/PeopleSoft. If you are an Emory manager with direct reports, go to Manager Self-Service. If you are a non-manager, go to HRWEB. Click on the Emory Recruiting System tile, then log in with your Emory Network ID and password.
Pay & Benefits
Back to topAt Emory, the minimum pay for a full-time postdoc is $47,476/annually. Departments can also use the NIH guidelines for salary based on years of experience.

Offer Letter
Back to topThe offer letter to the postdoctral fellow must include:
- start date
- monthly pay rate
- the department's designated ECAS HR Associate contact name and email

When selecting a start date, please consider the following:
- The pre-employment process can take up to 2 weeks. This refers to the time period between the date the offer is accepted to the date the candidate starts.
- Processing new hires is subject to EMUNV Payroll deadlines. New hire paperwork submitted after the 15th or 20th of each month makes for a very tight processing window before the last payroll of the month runs for both monthly and bi-weekly employees.
Onboarding
Back to topPre employment onboarding is initiated by your department's ECAS HR associate and completed by the new hire in ICIMS. The new hire receives an email with a link to complete this process in the portal. Please note that one of the steps includes completing Section 1 of the Form I-9 (not applicable for hires already employed at Emory).
Form I-9
The new employee must complete and sign Section 1 no later than their first day of employment.
The department lead staff is responsible for completing Section 2 of the I-9 within 3 business days of the employee’s first day of employment. Please find I-9 Guidance and the Equifax link in HR Web > HR Manuals & Guides.

New Hire Welcome Session
New postdoc hires can also register for an upcoming New Employee Welcome Session. Presented by Emory University's central Human Resources division, the New Employee Welcome Session does not replace department/division-level orientation. The session is offered via Zoom and:
- provides an overview of the university's mission and culture
- explains the many benefits and programs that are available to you
- ensures that your paperwork is processed correctly
- gives you the opportunity to get your EmoryCard and parking tag

Best Practices for Welcoming New Postdocs
Email Before First Day with Details: In addition to your department-specific information, please consider including the following:
- Remind them to make an appointment with their department's lead staff to verify their documents to complete their I-9 Section 2. (Please note that Data Services will not process their job record in PeopleSoft until this is completed.)
- Provide a link to Central HR's New Hires page where they can review helpful checklists for before they arrive, their first day, and more.
- Encourage them to sign up for the next New Employee Welcome Session. All new hires receive information for these sessions when they complete pre employment onboarding in ICIMS but it is helpful if they also receive a reminder from their department.
College HR strongly recommends that ECAS Departments create a department-level orientation to introduce new postdoc hires to relevant persons, processes, systems, and procedures.
Departments may choose to create their own new postdoc hire information checklist by modifying or adapting the New Hire Checklist (Central HR) or the New Hire Checklist (Emory College).
Additionally, the Onboarding Action Plan can serve as a template for building an orientation plan.
